The Office Manager will possess most or all of the following attributes:

Job Summary
Under discretion and independent judgment, the Office Manager is responsible for the daily operations and management of the a Dermacare corporate clinic. Responsible for carrying-out the overall vision, direction, coordination and evaluation of the office.

Supervision
This position has supervisory responsibility.

Duties and Responsibilities
Performs all assigned duties in compliance with internal standard operating procedures and external regulations. Is responsible for compliance issues to the attention of management.

Expectations of all management employees include:
a. Will exercise necessary cost control measures.
b. Will strive to maintain positive internal and external customer service relationships.
c. Must be able to demonstrate effective leadership skills.
d. Must demonstrate effective communication skills.
e. Maintains a positive and respectful attitude.

Participates in the interviewing, hiring, training, counseling, and firing of employees. Schedules staff. Conducts performance reviews. Conducts regularly scheduled employee meetings and enforces personnel policies and procedures. Understand and oversee job descriptions of staff.

Ensure pricing policies on services and products are being followed according to requirements for profitability of Clinic operations. Demonstrates excellent communication and customer service skills when interacting with clients, staff, management, vendors, etc. Handles or assists with all types of inquiries and/or complaints.

Responsible for ensuring the timely ordering and delivery of office equipment and supplies.

Plans and supervises all office functions. This includes:

a. Responsible for maintaining inventory on all spa and office supplies. Management of inventory with less than a 1% loss. Verifying accuracy of all product company shipments and billing.
b. Regulate and schedule technical maintenance.
c. Ensures clean and orderly environment in the office.
d. Overseeing data management.
e. Ensure all office equipment is functioning properly, all supplies are on hand, conversations between employees are appropriate, and making sure the office functions are operating smoothly.
f. Ensure front office staff is performing their jobs including:

• Prompt and effective answering of phones
• Employees arrive on time and appropriately dressed
• Music is turned on, etc. (ambience in lobby)
• Ensure administrators perform their jobs including:
• Employees arrive on time and appropriately dressed
• Employee work schedules are adhered to
• Employee tasks lists are up to date
• Assist employees with prioritizing of tasks
• High productivity

Responsible for overseeing or preparing all operational reports (daily, weekly, monthly, quarterly or annual basis) including:

a. Daily checking of bank deposits / credit card income for accuracy
b. Balancing of checking accounts
c. Review and payment of vendor invoices
d. Handling employee payroll and ensuring all hours reported are accurate
e. Required franchisor reports

Lead entire team to improve systems and procedures in order to enhance the prospective franchisee experience and achieve the goals of the corporate office.

Responsible for management of all vendor relationships.

Updates job knowledge by participating in educational opportunities; reading professional publications; and maintaining networks.

Assists Franchisees with projects as needed.

Maintains awareness and follows all safety procedures as outlined by the company. Ensure compliance of established procedures, practices, sales and security from every Employee.

Performs all other related duties as assigned.

Requirements
Education and Experience Required

High school diploma required. Associates or Bachelor’s Degree is Business preferred. Three (3) to five (5) years supervisory / management experience required, preferably in the franchise, medical, or health-related industry.

MEDIA ANALYST/BUYER

Job Summary
Looking for a results-oriented, self-starting direct marketing (direct mail/display ads) expert to work in a fast-paced growing franshise in the laser skin care aesthetics industry. Expertise in mutliple forms of direct mail and display ads required. Exceptional attention to detail and negotiation skills good interpersonal skills. A proven history of outstanding job performance and accomplishments. Ability to track a multitude of marketing vehicles on a daily basis.

This candidate is expected to prioritize and manage multiple projects with sensitive deadlines; show initiative and be creative in problem solving. The successful candidate will possess understanding of all media outlets along with the ability to create and maintain existing vendor relationships.

Duties and Responsibilities
Research and development of media plans
Identify target audience and ideal media outlets and ensure media reaches target audience
Negotiate, schedules and buys appropriate media
Recommends media mix and frequency as appropriate to Dermacare corporate and franchisees objectives
Track and analyze 800 #’s advertising trends and make adjustments accordingly
Communicates all media placement request requirements and manage review process for internal and external Marketing and franchisees
Assists franchisees and Marketing Managers in developing media requests to initiate projects
Create and maintain favorable rapport with Media vendors

Requirements
3+ years experience in marketing, specifically in an advertising agency setting or equivalent experience.
Previous experience balancing multiple projects – being detailed oriented is key
Ability to maintain highest level of confidentiality – demonstrate good judgment and discretion
Expert level experience in Word and Excel is required
Ability to work independently towards goals and objectives and take initiative in handling projects
Ability to work with multiple interruptions and tight deadlines – flexibility is key

Job Summary
Hands-on legal administration and UFOC compliance, business transactions, claim liabilities, interpretation of franchise law, and examining legal data.

Responsibilities
Work directly with the CEO to analyze, guide, and council future prospects in hopes of being awarded a franchise. Clear and precise organization of UFOC agreements a must. Evaluating processes in compliance of state law regulations and standards.
